Description

We are seeking an individual with connections and ongoing relationships with corporations, organizations, community leaders and businesses. The Sponsorship Coordinator will be responsible for securing funding and in-kind support through corporate, media, production and hospitality partnerships. They will also be responsible for the management of these relationships for Indiana Fashion Week (INDFW) 2021, Indiana Fashion Foundation (IFF) programs, as well as delivering on selected sponsorship benefits. This is a hands-on role that requires attention to detail, the ability to self-manage, and work well within a small team.

 

REPORT TO

CEO & President, providing reports to the INDFW production team and IFF Board.

Commitment

    • This is a contracted position.
    • June 14, 2021 through December 15, 2021  (6 months) with flexible hours based on delivery of contract with busiest period mid-June through end of August
    • The estimated time commitment required is approximately 20-25 hours per month.
    • 85% remote workload, 15% in-person with direct reports
    •  Attendance & participation in monthly Executive Board and staff meetings (1st and 2nd Wednesdays of each month at 1pm)

Compensation

    • $1500 (over the course of 6 months) with 10% commission on monetary specific closed, secured and fulfilled sponsorship contracts.
      • Second quarter (June 14 – June 30): $200
      • Third quarter (July 1 – September  30): $650
      • Fourth quarter (October 1 – December 31): $650

Responsibilities

  • Review the current Sponsorship Package and be familiar with what Indiana Fashion Week promises to sponsors;
    • Create customized sponsorship packages, where needed.
  • Seek new sponsors (media/advertising/programming/general support) and meet with potentials to outline what services they would value most
    • Including both cash and in-kind support/product from different corporations and foundations;
  • Determine and prepare a budget and monthly sales calendar, roll out, monitor it carefully and report on it regularly;
  • Book media advertising and ensure material is ready as required;
  • Sell advertising for Indiana Fashion Week 2021.;
  • Roll out and support the CEO and President with implementation of sponsor leverage activities, delivery of benefits and negotiated arrangements;
  • Develop and implement sponsorship strategies in order to maximize revenues;
  • Support the CEO and President  with maintenance and data entry using databases including Google Documents and Eventbrite.

 

Marketing & Collateral

    • Will work as part of the Creative Team to review an deliver the marketing and communications strategy, for managing the sponsorship leverage activities, advertising bookings and selling program advertising;
    • Review and incorporate signage needed for sponsor arrivals at the event

Recordkeeping

    • Maintains records and contacts of sponsors for future;
    • Maintains records of past grant letters and requesting sponsorship packages as examples;
    •  Keep a proper record of sponsor details for Indiana Fashion Week & IFF programming

Sponsorship Follow-up & Future Festival Engagement

    • Design and send out a thank you letter (email or regular mail) at the completion of the INDFW
    • Design and send out a sponsor survey to support planning for INDFW
    • Develop/Review appropriate correspondence such as proposals, thank you letters and program outcome information.

Qualifications

  • Operates in integrity, bold and not scared to raise funds because you believe in IFF’s mission.
  • 3+ years’ experience and education in sales/sponsorship solicitation, knowledge of the Indiana market, and a can-do attitude!
  • A bachelor degree in Marketing or Sales
  • Event planning (3-5 years of experience)
  • Strong verbal, organizational and written communication skills
  • Strong networking skills
  • Superior time management and organizational skills
  • Confident, friendly, professional and comfortable with cold calling
  • Ability to work autonomously in an entrepreneurial environment with a “can-do” attitude, the ability to make decisions on the fly and adapt to unexpected changes (at events)
  • A personal desire for ongoing learning, continuous improvement and development
  • An optimistic outlook and positive attitude
  • Self-motivation but love being part of a team
  • Possesses patience and perseverance
  • A lover of the arts, community, fashion.
  • A broad sense of humor would be useful and isn’t scared about get a “no”, but looks for ways to foster the aligned no’s.
  • Be able to delegate and support a grassroots program
  • Be personable and can present the organization and INDFW, and the virtues of being a sponsor
  • Be creative in looking at new ways to service and satisfy sponsors.
